Periodical Checkout Policy

PERIODICAL CHECKOUT POLICY

 

Periodical checkouts must be approved by a librarian or by the circulation manager or assistant manager when no librarian is on duty.  The librarians or student reference assistants fill out the periodical checkout slip with all the pertinent data, including:

 

<                    The full title of the periodical.

<                    Accurate volume and issue numbers as well as publication date, or in the case of a bound volume, the range of publication dates.

<                    The date and time checked out and time due. Checkout period should be for two hours only; however, a longer checkout period is allowable if the situation warrants (example: a student’s class is three hours long).

<                    Full name of the person checking the item out.

<                    Drury identification number of the person checking the item out (verified by the librarian actually reading the identification card). If the student does not have a Drury identification card on hand, a driver’s license will suffice. In that case, the student must be verified as a currently-enrolled student at the Circulation Desk. The driver’s license will be held until the checked-out item is returned.

<                    The telephone number of the person requesting the item.

Once a reference librarian has allowed a checkout and filled out the checkout slip, the patron shall take the slip and the material to the Circulation Desk. 

 

Checkout is to be allowed primarily for the purpose of scanning images within the periodical or to use in a class presentation. Periodicals should not be checked out just to be read elsewhere, except for faculty, nor should periodicals be checked out just to be photocopied elsewhere, unless all public photocopy machines in the building are inoperable.

 

The Drury identification card is held, with the checkout slip, at the Circulation Desk, until the periodical is returned, except in the case of faculty. The librarian should fill out all the above fields for any patron’s request (student, staff, or faculty).

 

The latest received issue of any periodical should not be checked out. A limit of three unbound issues or three bound volumes should be observed.

 

As mentioned above, the checkout period is strictly held to a two hour checkout period for students and staff, with allowances for specific situations. No weekend checkouts should be allowed, except for faculty. Faculty checkout period should be negotiable, but a suggested maximum limit should be three days and no more than three total issues.

 

A fine of $1.00/hour should be charged to the student’s account for non-returned items, beginning the hour after the item is due, with a cap of $20.00. Staff and faculty should not be charged fines, but should be responsible for replacement cost.

 

A thirty day allowance before a patron (student, staff, or faculty) is billed for replacement cost. The Circulation Desk should go through checkout slips each morning to verify for return of items, and should send an overdue notice to the library patron who has not returned an item. Replacement costs should be determined by standard methods already in place for replacement of periodical issues.
